Microsoft 365 vs Google Workspace for small businesses

Almost every small business that comes to us is already on one of these two: Microsoft 365 (Outlook, Word, Excel, Teams, OneDrive) or Google Workspace (Gmail, Docs, Sheets, Meet, Drive). They cover roughly the same ground, do roughly the same things, and the marketing pages are nearly interchangeable. The honest answer is that they're both good — the question is which one fits how your team already works.

Where Microsoft 365 wins

  • If your team lives in Excel. Google Sheets is fine for most things, but heavy spreadsheet users hit the ceiling fast.
  • If you have any kind of compliance burden. Microsoft's data residency, retention and eDiscovery tooling is years ahead.
  • If you're integrating with other Microsoft kit — Windows, Intune, Azure AD, Dynamics, Power BI.
  • If staff are older or change-averse. Outlook and Word feel familiar; Gmail's threading takes some getting used to.
  • Teams is genuinely good for chat and meetings, and it's the default that everyone else turns up to.

Where Google Workspace wins

  • Real-time collaboration. Multiple people editing the same Doc is smoother than the equivalent in Word/SharePoint.
  • Anything web-first or mobile-first. Gmail on a phone is still the best mobile mail experience.
  • Easier admin. The Workspace admin console is friendlier than the Microsoft 365 admin centre, which has grown into a maze.
  • Simpler at the lowest tier if all your team need is email and a browser.
  • Better search. Google still beats Microsoft at finding things you can half-remember.

The honest middle ground

If you don't have a strong reason to pick one, Microsoft 365 is the safer default for UK SMEs simply because it's what everyone else uses. Your accountant, your solicitor, your customers and your suppliers will all be sending Word docs and Excel files. You can open them in Google, but you'll spend a chunk of your week dealing with formatting that didn't quite survive the trip.

On the other hand, if you're a younger team that grew up on Gmail and Docs, switching to Microsoft is a productivity tax that lasts months. There's no point making people miserable in the name of convention.

Switching between them

Migrations are doable — we do them regularly, in both directions. Mail and contacts move cleanly. Files take more care, especially anything with macros or complex formatting. Budget two to four weeks for a small business migration, including the user training that always gets forgotten.
